The challenge

A company in the telecommunications industry dedicated to the provision of subscription television via satellite organizes its tasks and projects (from different areas of the company) through Microsoft Planner.

However, mid-level management observed certain problems regarding the management of their tasks.

There was no easy way to know the status of projects and tasks in the company globally. The company had numerous projects within the platform and evaluating the progress of the tasks of a certain project was easy since the tool was prepared for it. However, when evaluating the status of various projects (with their respective tasks) in an area or department, big difficulties arose. The platform did not allow for a comprehensive view of all the company's ongoing projects, so a lot of time and effort was involved in collecting such information manually.
Not being able to acquire a global vision of the company's situation, management decisions were based on inaccurate or incomplete data.
There was difficulty in communicating results and trends to the different teams of the company by those responsible for each area.
There was no simple way to evaluate the performance of each team, since it was not possible to compare information efficiently.

Objectives

This company wanted to achieve better data management regarding the status of their projects and tasks and for this they needed to:

Optimize search and access to information from Microsoft Planner.
Obtain a global visualization of all the projects and tasks of the different areas of the company, so that those responsible for each area can draw conclusions and make decisions based on the integrated information provided.

Proposed solution

We collaborated with the company by carrying out business and technical evaluations to identify the best solution for their data access and visualization problems.
After our initial meetings, we agreed to implement the Power Automate tool, in order to extract the information stored in Microsoft Planner and thus create a data source for a data visualization solution.
The development of various Dashboards was also defined with indicators and visualizations agreed with the company for a global vision of the status of its tasks, projects, their assignment to different team members and their progress status.
In this way, the performance review by areas and teams and the detection of the progress status of each project and tasks were facilitated. This also enabled management to make decisions or draw conclusions based on it.
We continue advising and collaborating with the company with the objective of establishing best practices in data management and facilitating the fast implementation of technological tools for management.

Tools that enable the communication of internal company applications with products and services from other companies. (Microsoft Planner - Power Automate - Microsoft Power BI)
A global visualization of their projects and tasks that enables the managers and leaders of each area or department to draw conclusions to make decisions based on said information.
